Station Reminders

  • Bring/wear warm clothes (layers are best). All of the potions are outside and some may be shaded. Even on a warm day the breeze, shade and time outside can make you cold. Hats and gloves are recommended.
  • Stay Focused on the Race.
    • It is easy to loose focus during the course of the day (we’ve been there done that) please stay alert and work with your Station Lead if you need a break.
  • If an issue comes up communicate it as quickly as possible with the Station Lead.
  • Volunteers should silence their cell phones, and to ask to be relieved at the next break between events if they need to return a call
  • Calls should NEVER be answered during an event, except by the Station Lead or HearNow representatives
  • Radios are provided to the stations and should be used by the Station Lead to communicate information to the race committee or other stations
  • Skype should be used to communicate with the other stations
  • Glare guard is provided if necessary for glare on the computer screen throughout the day (improvise if necessary with the Station Lead)
  • The station lead will coordinate breaks and rotate through volunteers at the station to allow for breaks, lunch, time to pick up premiums at the Volunteer Booth, etc
  • Please try to pick up your premiums before your shift
  • If you need a break, please ask your station lead
  • Parking is always an issue use public transportation whenever possible
  • This is a TEAM effort and our success is your success!

Station Scheduling and Arrival

  • DRESS FOR THE WEATHER – Very Important
    • Most stations are outside (and several in the shade) and you will want a warm hat, gloves, and clothing in multiple layers. Hand warmers will be provided at the stations depending on the weather. Even on sunny days some of the stations are in the shade and the wind so its best to be prepared for the cold.
  • Where do I go?
    • Volunteer station assignments will be sent to volunteers before your shift. The locations of the Timing Stations are all listed on this site.
    • Please arrive at your assigned location on time, there is a lot of set up and testing to be done in the morning.
    • Parking is always an issue use public transportation whenever possible.
  • Shift Times
    • All shifts, unless pre-arranged and confirmed, are from 7am to 6pm Saturday and Sunday. Please notify your station lead if something unexpected comes up while on site.
  • The Head of the Charles provides “premiums” to volunteers as a “thank you” for volunteering. These need to be picked up at the Volunteer Trailer at the FALS site (see the hocr.org website for a map of where this is)
    • You should arrange to pick up the “premium” before (or after) your shift. If you are not able to pick it up you can work with your station lead to get it during your shift, this will depend on a lot of variables so please be patient. Timing the regatta comes first.
  • Breaks – The Station Lead will arrange for breaks once everything is set up and running smoothly. If you need a break or have any other issues please let your Station Lead know.
